Overview

Team Management is an Agency tier feature that enables collaboration across your organization. Add strategists, designers, and account managers to your workspace, assign them to client brands, and control permissions—all from one central dashboard.
Agency Tier Only — Team features require an Agency subscription (199/month+199/month + 20/seat after 10 seats).

Team Structure

Owner

Full access to all settings, billing, and team management. Only one owner per account.

Admin

Manage team members, create clients, and configure workspace. Cannot access billing.

Member

Run analyses, use Helix, and manage assigned client brands. View-only for others.

Adding Team Members

Navigate to Teams

Settings → Teams → Invite Team Member

Enter Email Address

Team member’s work email (they’ll receive an invitation)

Select Role

Choose Admin or Member (Owner cannot be assigned)

Assign to Clients (Optional)

Select which client brands they can access

Send Invitation

Email sent with signup link (expires in 7 days)

Invitation Email

Team members receive:
  • Subject: “You’ve been invited to [Your Agency] on Brand DNA”
  • Link: Unique signup link (valid for 7 days)
  • What Happens: They create password, accept invite, and gain immediate access
Resending Invitations: If invite expires, go to Teams → Resend Invitation

Editing Team Members

Find Team Member

Settings → Teams → Click Edit next to member

Update Role

Change between Admin and Member (Owner cannot be changed)

Reassign Clients

Add or remove client brand access

Save Changes

Changes take effect immediately

Removing Team Members

Removing a team member revokes access immediately. Their work (analyses, tasks) remains in the system.

Navigate to Teams

Settings → Teams → Find member

Click Remove

Click Remove next to team member

Confirm Removal

Confirm action (cannot be undone)

Access Revoked

Member logged out immediately, cannot access workspace
Data Retention:
  • Analyses they created: Retained
  • Chat transcripts: Retained
  • Tasks they assigned: Retained
  • Login access: Revoked

Click client brand to manage team access

Check boxes next to team members who should access this client

Members immediately see this client in their workspace

Removing Seats

Removing team members does not automatically reduce seat count or refund charges. Contact support to reduce billed seats after removing members.
To Reduce Seats:
  1. Remove team members: Settings → Teams → Remove
  2. Contact support@branddna.app
  3. Seat count adjusted for next billing cycle (no mid-cycle refunds)

Collaboration Features

Shared Workspace

Team members working on the same client brand can:
  • View analyses: See all analyses run by team
  • Share tasks: Assign tasks to each other
  • Comment: Add notes on analyses and insights
  • Export together: Co-author white-label reports

Data Access Controls

Best Practices

Admins can manage team and clients but not billing. Great for senior strategists who need to onboard new members but shouldn’t access subscription settings.
Don’t give all members access to all clients. Assign members only to clients they actively work on for better security and focus.
Quarterly review of team roster: Remove inactive members, update client assignments, promote high performers to Admin.
Set up white-label branding as soon as you subscribe. Consistent agency branding on all client deliverables.

Frequently Asked Questions

Yes. Owner can transfer ownership to an Admin: Settings → Teams → Transfer Ownership. The new owner must accept via email confirmation.
Access revokes immediately. Seat remains billed through end of billing period. Contact support to adjust seat count for next cycle.
No. API keys are account-level, not user-level. All API requests use agency account credentials. See API Keys.
No. Team members are invited to your agency’s account. They don’t need separate subscriptions.
